CLAN Minutes: Steering Committee - October 30, 2003

Steering met in the Small meeting room at Warwick Public Library on October 30, 2003.  The meeting was convened at 9:40 by Chairperson Susan Reed.  In attendance were:

Peter Bennett, PRO and CLAN; Carol Brouwer, NSM and Vice Chair; John Carney, EPL and Regional Rep; Laura Dixon, WWA; De Johnson, RILA; David Macksam, CRA and RIAL; Leslie McDonough, SCI and Treasurer; Ginny Moses, CLAN; Anne Parent, OLIS; Rick Payette, CLAN; Doug Pearce, WAR and Regional Rep; Susan Reed, PAW and Regional Rep; Regina Slezak, NPT and Regional Rep; Cindy St. Amour, PRO and CLAN.

The previous minutes were unanimously accepted, as corrected.  (word "ion" should be "in)

Executive Director's report:
Ginny Moses reported that most focus lately has been on Horizon preparations.  Horizon training has been well-attended and is going smoothly.  She emphasizes that Horizon is user friendly and once staff start using it they will lose their initial anxiety.

Filtering options are out there, though CLAN supports WebSense.  Comparative studies on various products are out-dated.  More as it develops.

Systems and Network Administrator's report:
Peter Bennett says the migration is proceeding smoothly.  The bibliographic database is almost done-about 98% of the remaining 1700 records are old CLSI records-should be able to get most of them taken care of.
        Patron data load is in progress.
        Item data load starts Monday of next week.
        "Statuses" had to be consolidated.  If you have a problem with statuses, contact Peter.
Only issue is with "Holds."  If Ipac isn't up you cannot place holds.  HIP 2.1 isn't yet perfected. Holds only working for items from ARL and TIV, but we will solve that problem. (Note:  problem solved as of now.  VM)

Trainers/training for Horizon were very good-especially Acquisitions.  Better than DYNIX.  But don't use Acquisitions if you don't have a really complex funding situation.  

Atrion/Cisco-there's a new Cisco security agent that runs on servers and stops attacks even if no virus signature exists.  It starts protecting from day 1.
Peter wants it for CLAN.
It protects from within, too, and most attacks come from within.  After the initial setup it runs itself.

We'll be down about 3 days for the changeover to Horizon-Dec. 8, 9, 10, and then up on Dec. 11.  
Debt Collect (Unique) may not be ready to run right away.

Horizon is a slick system, much better than DYNIX -he's glad we are migrating.  DYNIX maintenance costs are skyrocketing.  Universe was bought by IBM and DYNIX runs on universe.  Costs are being raised.
New PC's won't need licenses-there will be no cost to hook them up.
Horizon is the Client.

Release 7.3 bumped up the PC requirements, but 256k and up will work, regardless of what DYNIX says-as long as you don't get thousands of hits while searching.

Rick says any PC's bought through CLAN in the past 2 years will be fine for Horizon.
Remember:  only staff PC's need to be up to speed.

PC Reliance will be fine for using during the 3 days we're migrating.

Leslie asked about the Holds List.  Is there a problem with dumping it?
***Peter will see to it and make a plan for scheduling dumping.  
Cindy noted that the dumping will occur right before the system comes up.

North Smithfield will be close from 12/8 through 12/10 for the migration.

DYNIX personnel will be on-site on 12/11.

Printing will be the hardest issue once we come up.

Technical Support Specialist's report:
Rick Payette reports that he has installed the Client for 20 libraries, 18 others are doing their own.
Peter says there may be Client upgrade in December, but we may hold off loading it fro awhile.

All libraries have a working Ipac-he'll make them available on the CLAN homepage in early December and remove all other Pac's at that time.

Head of Data Processing's report:
Cindy St. Amour found the DYNIX trainers helpful and responsive.

Erate funding for Year 6 is in-about $80K
Working on Year 7 applications next month

LORI Committee report:
        Regina reported that the Futures Conference is tentatively scheduled for April 23, 2004.

        CLAN and HELIN's efforts to get a common user interface working are appreciated.

OLIS representative's report:
        Anne says the Standards are approved by the Library Board.
Dorothy Frechette of RILINK is concerned about the Technology Plan-school libraries can use school districts' technology plans
        
The Futures speaker program at URI is on November 11.

The proposal for Grant in Aid has been approved by the Library Board, but others must approve it, too.  It reflects full 25% bottom line and reflects a half cut in Hold Harmless

Ri.gov is the "ask a Librarian" program through PRO-state government questions only.

RILA representative's report:
De Johnson presented a handout advertising a program designed to clear up rumors regarding OLIS' future.  It will be after the Future's program on November 11 from 2-4 at the URI Multicultural Center.

RI League of Cities and Towns annual conference is on 1/29/04.  Susan Reed suggest a list of CLAN library websites be passed out at that meeting.  De agrees it will be good PR.
  
RILA is doing a program then on the 24/7 reference services available through RI libraries

NELA honored Senator Jack Reed at its conference

No news concerning tutor.com

The Library Board has concerns that patron without permanent addresses cannot get CLAN cards.  Some libraries-notable PRO-- accept homeless shelter addresses.  

As there were no further items to be discussed, the meeting was adjourned at 10:48 AM.
