CLAN Minutes: Reference Issues Committee, January 23, 2007

2:15 p.m. at Warwick Public Library

Meeting began at 2:18 p.m.  Those in attendance: Mary Anne Quinn (WAR), Linda Caisse (NKI), Beth Johnson (CRA), Pat LaRose (NPT), Julie Holden (PAW), Jenifer Bond (WES), John Carney (EPL), Barbara Bussart (WNS), Joan Gillespie (CLAN).

Web page for our committee - what is the status?  Rick is updating the entire CLAN support page, and did not want to create a page for us until this was done.  

Follow-up training from III is not likely to happen - it's up to us at this point.

Beth asked if we should actually do a live training session, or should we just create handouts.
Consensus is that we do a combination of live training and handouts.

We should put questions to member libraries as to what they want to have explained.

OPAC still has "and then press the RETURN key." in an awkward spot.  Can this be moved to after the Pickup Location drop box?  People are hitting RETURN before they select a pickup location and getting error messages.

Question : can we print another library's hold list?  From an email asking a question about finding items on holds lists, it sounds like it is happening.  Should it be?

Some people are still not aware that they should be paging for title when requesting items in the client.  Is it the terminology?  Should we try to change the message to say something like "add to hold list".
Julie called WGR to answer the CLAN message asking about not getting the items that they requested because of this problem.

Pat suggested that instead of having "training sessions", we hold broader type Reference meetings in a few locations around the state and have the millennium issues as merely a part of that meeting.  These meetings could include:
Resource sharing
Print v. non-print media, or electronic resources
Future of print reference collections
Rhode Island tax forms
Web Page content for reference working group
Pros and cons of databases, specifically EBSCO
Issues reference staff would like the working group to address in future

If you would like training on the EBSCO databases, you can contact Ann Murdock to arrange it for your staff.

Joan Gillespie joined us - she is approaching the Steering Committee about creating an official "training" committee.  She is disinclined to use III training because of the fact that they know the generic setup of Millennium, not how CLAN has configured it.
Patience is doing more training on cataloging, create lists, etc.  Joan would like to see more of these sessions as well as others like them.

Question was asked as to who would be on this committee.

Joan is also asking for a group purchases committee. Pat and Jenifer both served on the one that selected the databases for CLAN, and stated that as far as they were concerned, that committee had never disbanded.  They were trying to generate interest in continuing meetings.

Reference meetings:
When?
Where?
How Many?

Is RILA a possibility?  It's probably too late for this year, but next year is definitely possible.

Warwick, Newport, and Woonsocket seem to be logical places to hold these meetings.  We'd like to schedule them in the last week of March or the first week of April.

Julie asked that we change the name of this committee to the Reference Working Group, stating that using the word "Issues" has issues of its own.

The Steering Committee and General Membership meetings are coming up within the next few weeks, and the Reference sessions will be mentioned in these meetings.

Another issue to be discussed is the Holds/No Holds question, and the workarounds that are occurring.

It was mentioned that during the recent Verizon problems, with the entire CLAN system offline, the Millennium offline function did not, in fact, function.  It seems to work right when it is a limited problem (one library independent of the others), but when the entire system down, it still seemed to be searching for a connection.

Next meeting will be February 27, 2:15 at Warwick.
