OSL Minutes: Reference Working Group, January 13, 2010

In Attendance:  Linda Caisse (NKI), MaryAnne Quinn (WAR), Carol Shedd (WRR), Patti Folsom (HAR), Diane Swindlehurst (EPL), Marian Kendricks (TIV), Julie Holden (PAW), Pat LaRose (NPT), Ann Poulos (PRO), Nina Wright (WES),  and later, Lisa Davis (OSL).

Reviewed notes from last meeting, as posted on OSL support page/meetings and minutes

- Follow-up on Relais - some in attendance had attended a Relais workshop already, Brown workshop was postponed to Jan. 28, some in attendance have other staff going - none in attendance are actually using Relais yet

- Envisionware - Pat mentioned that there are two features she would like added to the software whenever there is a new release and has contacted Lisa Davis - shared the email and reply from Envisionware rep which encourages customers to make request through the Envisionware forum -  the 2 features discussed were the ability to restrict total time for a day by area, and that the system would kick off whoever was on the longest, not whoever is almost at the end of a session.

- Mentioned that Millenium upgrade scheduled for next Monday - briefly looked at info from III's csdirect webpage on enhancements in this release - noted some new features - noted that login has changed to oslri, password is the same

- Discussed some issues with MILLenium, such as difficulty in switching from OPAC to client and using cut and paste to for example copy over an ISBN number, does not work well, also printing records from the client often produces many pages of hard to read data

- PAW staff has devised a method of tagging/labelling  ILLs from non-OSL systems using a "removeable sticker and barcode" - Julie gave examples which show PAW library logo, brief book info, and an online barcode generated from a free website (see www.morovia.com)
This could replace whatever internal paperwork libraries now do, but still requires entering a brief bib record such as "on the fly" ILL record in Millenium - Paul from PAW worked with Patience at OSL - for more info ask OSL or Paul at PAW

- Most in attendance have not experienced extreme budget cuts yet,  EPL and PRO have had layoffs, WES is in process of renovation and is not doing much programming now, HAR has discontinued Ancestry library edition, EPL has dropped Ref USA database, WAR has kept Ref USA but eliminated the residential component, NPT has dropped print references of ContLitCrit and ContAuthors, because of low usage considering cost per volume and number of volumes Gale produces each year, will rely on EBSCO literary ref database instead.   Libraries are bracing for budget cuts mostly due to the bad news coming from the state.

- Discussed selling flash drives for patron use, several libraries do this already, also discussed problems with headphones, issues with providing faxing and scanning services, other supplies and many libraries dispensing purell and wipes to keep germs at bay for staff and patrons

- RWG would like to present another Reference Roundtable in April - Pat will ask Beth at CRA to see if there is a Wed. morning date available at CRA (not school vacation week) - topic will be: Trends in Library Service: The Reference Perspective - basically reviewing new customer-centric ideas ie. The San Jose Way, or the Darien way, etc.  Next meeting will talk more about how to present the roundtable, whether to have speaker, or sharing, etc.

- As Lisa Davis came in towards the end of the meeting (she was at training elsewhere), we did discuss the issues with freezing holds in III.  There are many problems and upshot is freezing holds is not recommended.  See more discussion from last circ heads meeting.

- Lisa also gave brief idea of what web management reports can produce. She is at NPT on Thursday to give a workshop on this

- Other meetings of importance coming up are Steering Jan. 21,  E-Zone Jan. 25, membership Feb.11      

- Next meeting for RWG - Weds. Feb. 24 at 2:15 p.m. at OSL offices
