OSL Minutes: Reference Working Group, May 20, 2008

The first part of the meeting was spent discussing the Weeding Workshop this morning.

Lisa mentioned OCLC offers "Collection Analysis", a way of analyzing your library's holdings.  St. George's has already done this. They look at all the subject areas and analyze where your collection is strong and weak. If any library wants to do this, Lisa will pull out your library's bib records for OCLC.

The OPAC icons were discussed next. Lisa is still trying to make the icons transparent and has several people working on it, but it's tricky.  At the moment, all Overdrive records say "ebooks" - this will be fixed soon - it's an icon issue.  A few icons are showing up. Overdrive records will say "DRE" (downloadable resource) in the location code and the call number field will be blank.

Pat has seen a record with the actual book listed, with 2 libraries owning it, and the DRE listed also.  Lisa says this is a mistake; let her know if we see records like this.

Last Items: Lisa said if you're deleting the last item in a record, send them to Lisa. If you have a bunch, put them into a review file, and Lisa will make sure all the bib information is deleted.  A new policy is that every three months, Peter will scan the system for records with no items attached, so we can delete  empty records.  This will not target new acquisitions, but start with records that have been in the system at least three months.

Also, if you see weird things happening with the Overdrive records, let Lisa know - there's still lots of tweaking to do.

Encore is scheduled for the fall of '08. Encore training will be available at some point. If Lisa is trained first, she could train us and we could train others. Training materials will be needed also. The Academic libraries have a link between searches in Helin and EBSCO databases.  This is some type of federated searching, but we're not sure if it's Research Pro or Encore, or some other interface between Helin and EBSCO.

Reference Round Table survey results are available, and Hope handed out a chart with the answers to the survey questions. 46 people attended and most of the reaction was positive.  Some comments were that the beginning was too general and there was not enough time for librarians to share. Next time, we'll divide the session in half - the first half for material or content and the second half for sharing and pooling ideas.  The committee members would have Iiked to have seen one concrete example of library marketing from start to finish. Hope also passed out some materials that Peggy Barber sent her, including information of the "San Jose Way" and a suggestion that we look at Henderson County Public Library (www.hcpl.org/databases/) for a nicely laid out database page.  The next

Reference Roundtable will be in the fall, but we haven't talked about possible topics yet.

Repeating entries on the Holds Lists were reported by Pat and Linda. This problem had been fixed, but apparently has started again. Lisa will look into it.

Preferred Search has been turned on by Peter. Log into your account on OPAC, and do a search (i.e. author or subject). Go back to your record, click on preferred search and check off the ones you want to be notified on.  When you're notified of something new by email, you can click right into the catalog. Then you can place a hold on the item. There is a limit of 35 preferred searches at this time.

Ezone & Ipod - At the most recent EZONE meeting, discussion was held on the IPOD issue. Although Overdrive will now be compatible with IPOD, this is only if the member libraries buy another collection of material in a format compatible with IPOD. The current downloadable collection will not work with IPOD.  The cost of digital books is rising all the time.  Mary Ellen Hardiman may go to the Champlin Foudation for seed money to start a collection of IPOD materials in Overdrive. Another EZONE issue is that not enough libraries are buying content. Pat suggested that the newer libraries may need more training in ordering until they are comfortable with it. Some quick lists will be set up on the Overdrive ordering site, so if libraries have money they need to spend quickly, some lists will be available to order quickly.

Pat was interested in Gale E-books and wanted to know if anyone subscribes to them.  Warwick subscribes to American Decades, Countries and Their Cultures 2001, Encyclopedia of European Social History, and Europe 1450-1789: Encyclopedia of the Early Modern World   and CLC, Something About the Author and Grzimek's Animal Encyclopedia.

EBSCO is coming to OSL to do training on the new interface (August, on a Wednesday) and Reader's Advisory (September, on a Wednesday). Lisa just posted some new training sessions.

The next RWG meeting is Tuesday, June 17 at 2:15, at Warwick, probably in the Trustees Room.
