OSL Minutes: E-Zone, April 24, 2009

The meeting was held at the Ocean State Libraries (OSL) office in Warwick and was called to order by Chris La Roux at 10:10 a.m.

UPDATES FOR E-ZONE WEBSITE-Lisa Davis reviewed with the committee changes to the website that she had conveyed to Overdrive.  All of these changes had been approved at the previous committee meeting.
Loan Periods-Patrons can choose loan lengths of 7, 14, or 21 days for audio books and e-books.  The default will be 14 days.
Movies and music can be borrowed for 3, 5, 7 or 14 days.  The default is 14 days.

Star Ratings have been invoked, which allows patrons to rate how much they like a selection.

Photograph-The committee recommended changing the photograph on the top of the page to the Newport Bridge.  Chaichin Chen offered to see if OLIS has a photograph of the Newport Bridge that could be used.

Search Box--A committee member suggested a general search box be added to all pages.  The committee agreed.

MARC RECORDS FOR MP3 TITLES ALREADY CATALOGUED-Lisa Davis explained that she that OSL is being charged for MARC records for MP3 titles that are duplicates of records for the same titles in non-MP3 format. The committee feels that most new audio titles will be in the MP3 format if it is available, and there will not be any more duplication.

HOW TO GET LIBRARIES TO ORDER CONTENT-There was discussion of the problem of only a few libraries purchasing all of the content for the E-Zone.  This is probably because of funding uncertainties and libraries running out money toward the end of their fiscal year.   It was decided that Lisa would print a list of circulation figures for libraries at the end of the fiscal year, as well as for the May OSL meeting.  It is hoped that when libraries see usage of the E-Zone by their patrons they will be more inclined to purchase content.  Some committee members have been selecting materials and putting the titles in "Carts" for member libraries to purchase. This makes the selection process very easy for those who don't have time to select titles.  This too, it is hoped will result in more content being purchased.

DISTRIBUTION OF MP3 PLAYERS OWNED BY OLIS-Chaichin discussed the method of distribution that was offered by the E-Zone committee at the last meeting.  The MP3 players were purchased by OLIS with a grant and are compatible with E-Zone selections.  They were purchased specifically for library staff to use to become accustomed to downloading and playing content from the E-Zone site, in the hope they will be better able to assist library patrons with the processes.  It was agreed that libraries will request the MP3 players from OLIS and they will be checked out to the libraries using Millennium.  This will allow for tracking until they are returned to OLIS.  The items records will be suppressed so that the public cannot see or request them.  Packaging schemes were discussed, but no definitive conclusions were reached.

OTHER-A request was made to see if it is possible to have a notice put on the Content Reserve order page reminding librarians to change tshe random order number generated by the website to one that includes the ordering library's three digit code.  This is necessary so OSL knows whom to bill for purchases.

There was a request to have E-Zone committee meetings on a day other than Friday.

NEXT MEETING-The next meeting is Thursday, September 3 at 10 a.m. at the OSL office in Warwick.

ADJOURN-The meeting adjourned at 11 a.m.
Respectfully submitted,
Chris La Roux
