Minutes of Database Management Committee Meeting

Kids Cat

Patience was going to send a letter to reference and children’s departments with the pros and cons of Kids Cat. However, Peter suggested we re-index 1996 & 1997 (up to 10,000 juvenile records) to see if this helps. Peter will also write a new program in the language of the affected format. Patience wants to hold off writing a letter until we see how the re-indexing goes. The date of re-indexing has not been determined but Peter is working on the program now.

Classic Editions

Members contributed lists of titles. Doug suggested letting libraries decide whether or not they wanted to merge into these newly created records. Jenny has the master list and will give 5 titles each to work on to: Paul, Doug, Brenda, Dana, Gretchen, Debbie, Susan and Jenny. Also, titles for consideration can be sent to Jenny. The CLAN catalogers will create the actual classic ed record and members of the committee will do the merging and contacting libraries.

999 Project & Grant

We got the 1999 Champlin grant for the 999 project to convert 30,000 more non-marc records! The CLAN catalogers passed out a report showing that they have converted 77% of the 30,000 from last years grant. It is estimated that they will finish with the original grant by early 2000. Only about 15,000 999 records exist right now so the catalogers will run out of records by mid 2000. Libraries are asked once again to convert their non-marc records (from a print out Peter gave out last year) to 999s ASAP. Contact CLAN catalogers if you have questions or need help.

Patience stated that rather than e-mailing libraries who haven’t provided enough information in their 999s the catalogers have changed the catcode to 333s. Libraries are encourage to look for their code in this list, add sufficient information to the records then change back to 999.

Kudos to Peter for deleting 25,000 BIB records with no holdings. He will try to do this ever 6 months.

Other

LP will be add in the 096 field to help patrons realize the record is large print and place their hold on the appropriate record. If you find a large print record you want a 096 LP put in contact CLAN catalogers or do it yourself.

Patience reported on records such as "Guinness" and "Peterson’s" that are always changing titles. Committee decided that most recent title will appear in 245 field and up to ten years worth of title changes will appear in the 246 fields.

BIB numbers for circulating 2000 periodicals will be coming out soon. Patience will ask DP to run the list as soon as possible as libraries are already receiving 2000 periodicals. By the next committee meeting Patience will have the list of BIB number for periodicals.
