OSL Minutes: Database Management, May 11, 2009

1.  Series changes: 490/830 split:  OSL will now follow Library of Congress policy in regard to series.  The use of 440's is obsolete.  Instead, OSL will use a 490 to record the form of the series on an item, and an 830 which represents the authorized form of the series.  Patience handed out a useful summary sheet and discussed this matter.   She will post examples on the OSL cataloging website.  The templates for calling for cataloging will soon be changed to reflect the series change.

2.  Backstage project:  Lisa said that three tests have been done.  Peter has uploaded the OSL records and Backstage will need three weeks to complete the work.  Peter will re-add the OSL records to Millennium 100,000 at a time.  Lisa will post a message when the project is complete.  The automatic authority control feature will be turned on.  Patience reminded everyone to send bib numbers to the OSL catalogers when they have deleted the last holding from a bib record.  Also, anyone who performs original cataloging will also need to report those bib numbers so that the OSL catalogers can keep our holdings in OCLC current.

3.  Multi-volume DVD bib records - use of volume fields: The correct use of the volume field was discussed.  Libraries that decide to split up a large DVD set and circulate its discs separately should record the appropriate information in the volume field so that patrons can place item specific holds accurately.  The volume field should not be used for non volume information such as the Rhode Island Teen Book Awards.  Melanie will write a document to explain the correct use of the volume field.  A great deal of discussion followed concerning circulation issues with item specific holds.

4.  Progress of classic ed. Records:  Patience reminded everyone that there is a list of the completed work on the cataloging message board.  Patience asked for those catalogers who haven't completed their assignment to please finish by June 1st and by July 1st for Shakespeare titles.  As a reminder, translations are a special case.   The same title with different translators should not be merged.

5.  OSL library card for OSL catalogers:  The OSL catalogers now have a library card that they can use for holds.  This will help them to request material that needs original cataloging.

6. Stats:  Patience said that some of the statistics are lower this year than the same time last year because of cleanup projects done for the Backstage project.

Other:  Blu-ray format was discussed.  Some libraries are finding that when ordering blu-ray they receive not only that format, but also an accompanying DVD.  Many libraries break up these sets, adding the blu-ray item to the appropriate bib and the DVD to a DVD bib.  Everyone with blu-ray said that they use blu-ray in the call number to help patrons recognize what format they are taking out or placing on hold on.
