OSL Minutes: Database Management, May 19 2008

1.  Bib records with summaries or abstracts - Are we keeping them or deleting them?

        Some attendees thought that these summaries are often too long.  After some discussion, a vote was taken.  The vote was overwhelmingly in favor of keeping summaries.

2.&3a.  Use of subfield v in the series field and cataloging children's series:

        Inconsistencies often arise with series numbering.  Some series entries in Millennium have a volume number, some are a book number, some simply have the number sign (#).  The Baby Sitters club was the example used to illustrate this problem.  It was decided that for a new series, catalogers should simply put the series number in the subfield v, not "vol," "v," "#."  For a series that is already well established, follow the existing pattern.  

3b. Novels in verse in the subject heading:

        Novels in verse is the correct form of subject heading and should be a 650 in the MARC record, not a 655 genre heading.  It should not be Novels in verse-Juvenile fiction.

4.  Call for cataloging training sessions:

        Patience said that new sessions are coming up and she hopes to offer bib editing workshops in August and September as well.

5.  Cataloger's contact information - update:

        Sue Connor said that tracking down contact information for libraries who don't attend Database Management meetings has been surprisingly difficult.  Libraries that did not provide a contact person as their cataloger will have their director as the contact.  The list is now finished and will be posted on the OSL catalogers' website.

6.  Updated material types:

        Lisa Davis gave the committee an update on this project.  The new icons for the OPAC came from three different library consortia and written permissions had to be obtained from each.  Lisa said that large print has been completed.  The separation of DVD and VHS formats is almost complete.  The next big job to be tackled is the separation of Book on CD and Book on tape.  Realia will still be used as a material type for toys and games.  Book club sets are multiple copies of books that some libraries have set aside for the use of book discussion groups.  MP3 discs will stay in the material type of electronic resource.  Lisa said that there might gradually be some consolidation or some expansion of the icons.  Advance search in the OPAC is still not working very well because of this reorganization.  The new icons should make their appearance in the OPAC very soon.

7.  Overdrive:

        Excerpts are being removed from the bib records.  A new location code, DRE or downloadable resource is in the location field on the MARC record.  For an example, see bib 20572220 for Answered Prayers by Danielle Steel.  If you are searching in the online catalog and limit to what your library owns, these items will not appear.  

8.  Other:

        Preferred searches:  To use this option, a patron must log into their patron record from the OPAC.  The OPAC has a help screen explaining preferred search.  Whenever a bib record is loaded that fits the patron's preferred search, he will receive an email message.  Renee has the email address of where this message originates so that patrons can avoid having these messages go into their spam folder.  

        Brief OCLC records on Firstsearch:  Patience showed an example of a brief, substandard OCLC record.  If you've called for cataloging and the item sits for awhile without being overlaid, you may need to add more information to your record.  Check your 333's and update any with the current catcode after adding more information.

        Copies of the new and old cataloging policies were passed out.  Sue Connor asked that committee members take a look at them and see what needs updating.

        Patience will ask Peter to globally delete bib records that have no holdings every three months.  The criteria for these bib records are that they have to have been in the database for at least six months.  

        Patience will post yet another message reminding staff not to put non-volume information in the volume field of their holdings.  

        Patience said that it would be okay to use the catcode 777777 with the library's three letter code for high priority items.  Such items would be those that have many holds like the latest Grisham, Kellerman, or Patterson.  The OSL catalogers will give these items priority.  This new catcode should not be used for pre-pub items.

        Patience will suppress all on the fly records.

        Patience asked if we can try to compile a list of authors who fall into the following category:  they have accepted pseudonyms and our OSL policy is that the bib record will use the form in the 100 field that is on the title page.  

        Working on authority conflicts is a continuing project for the OSL catalogers.  If you see conflicts, feel free to report them.
