OSL Minutes: Database Management, September 17, 2007

The meeting began with a discussion about the deletion of bib records that have no holdings attached.  The decision was to delete bib records right away to avoid patron confusion. Patience said that she can always import a new bib record if an item is replaced.  Catalogers who have permissions to delete bib records can continue to do so and catalogers without permissions can continue to ask the OSL catalogers to delete them.  Sue Connor asked if Peter could do a create list of bib records with no holdings attached so that libraries could review this.

Next discussed was the topic of linking a single barcode to multiple bib records.  Committee members thought that the disadvantages of using this Millennium function would be more numerous than the benefits.  It would likely be confusing to patrons and confusing to the circ staff trying to fill holds.

Ulla Virks volunteered to join the East Providence Personnel Panel as described by Deb Tirrell.  The Personnel Panel will interview candidates for a technical services assistant position.

The OSL Catalogers handed out quarterly cataloging statistics.  Patience said that the staff has been doing a lot of authority work lately.

Cataloging for digital audio devices was discussed.  Catalogers are reminded not to use compact disc or cassette bib records for these.  Digital audio devices are a separate format and have their own template for calling for cataloging.  The 099 field in the MARC record should read DAD.  Patience said that the OSL catalogers will use Library of Congress subject headings for these bib records and a genre heading for Playaway.

Overdrive books and their access were the next topics.  Should bib records be made for each Overdrive item with a link to the Overdrive site?  After much discussion, the Committee recommends that the idea of making a bib record for each item with a link to Overdrive be tabled for the time being.   The easiest access to Overdrive items is through the Overdrive website and patrons can be better educated on how to use it.  The Committee also suggested the term "digital media downloads" be used instead of "e-zone digital downloads" on the OPAC.  

Patience explained some differences between First Search and Connexion.  She said that sometimes the coding on First Search records does not translate well to Connexion.  In some scenarios, catalogers use First Search, provide an OCLC number on their call for cataloging and then are surprised that the OSL catalogers don't use that record.  Patience said that sometimes what looks like a nice record in First Search is problematic in Connexion.  She distributed copies of the bib record for the motion picture Temptress Moon to illustrate her point.

Some bib records for multi-volume sets are now being made that have ten and thirteen digit isbn's for each volume of the set.  This makes for a huge bib record.  Patience said that catalogers with permissions can delete all isbn's except for the isbn for the complete set.  Someone noted that Millennium always checks for duplicate thirteen digit isbn's when inputting them in a call for cataloging.  Patience said that she will ask Peter if something can be done to eliminate the check for duplicates.

Open records with isbn's were discussed next.  Isbn's should not be on an open bib record.  Patience reminded everyone to search by title for items that look like they would belong on an open record.  Examples of these are travel guides, college guides, test books, etc.   Paul H. said that deleting isbn's on open records could be a problem for Cranston because they are needed in their acquisitions procedures.  He said that he can delete the isbn after the order is transmitted.

Patience updated the committee on the Saint George's record project.  There are about 13,000 records from St. George's and many are duplicates of what we have in Millennium.  Patience said that many of their bib records are superior to OSL's.  Catalogers with permissions may merge inferior OSL records on to St. George's records if the occasion arises.  Lisa Davis trained the St. George's library staff and will remind them about our procedures for open records.

Brief records for DVD's can cause problems for catalogers wondering if they should use the record to call for cataloging or not.  Please identify whether the DVD is widescreen or full screen.

Deb Tirrell said that she has noticed a lot of authority conflicts lately.  Lisa said to feel free to email conflicting headings to the OSL catalogers.  

Patience is going to delete some large review files in Create List.

The OSL staff has still not moved to their new office.  The landlord is still doing renovations.  The meeting space there is not very large.
