Circulation Heads December 2, 1999 The Cirulation Heads Meeting was called to order at 9:40 am at Lincoln Public Library. The Minutes from the last meeting were accepted and seconded. Those present are as follows: Gina Marciano & Virginia Silvestre, NPR; Donna Woodworth, CFA; Sandy Mackinger, CHA; Annette Nester, COV; Andrea Plaziak, WWA; Bev Klyberg & Norma Coleman, PRO; Ann Marie Doraz, MID; Mary A McKay,NKI; Kristen Chin, HAR; Madeline Leone, JOH; Sandra L Williams GVL; Janis Hereau, HPE; Paula Miller, SKI; Mary Skaba, BUR; Elizabeth Karageorge, CUM; Claire J Zagaglia, WNS; Edna M Wells, NPT; Rae Robertson, LIN; Annette Roy, EGR; and Kacey Richards, PAW. Peter Bennett and Ginny Taken were also present to discuss changes to the patron registration screen. Proposed changes were finalized and Peter informed us that it now has to go to the Steering Comm (perhaps in Jan.) to become "law". The proposed changes are as follows: 1. patron name 2. street 3. city,state 4. zip 5. patron loan type 6. patron stat class 7. patron barcode 8. birthdate 9. home phone 10.work phone 11. work/school 12. guardian 13. social security # 14. ID# 15. E-Mail address 16. agency 17. date of birth 18.alternate street 19. alternate city/state 20.alternate zip 21. notes 22. add/mod/exp *last use *use/past use 25.pin 26. mail hold notices 27. mail overdue notices The main goal is to make the patron reg. screen uniform so all info in patron record is readily available to staff at ALL libraries, especially with increased use of various libraries by patrons. Some fields not currently used may become more important as more libraries use automated services such as telecirc, ENS and/or Unique Collection Agency.
Birthdate and Date of Birth mean two different things (to the comp.) which is why they are both remaining in the fields, however in the future, Birthdate should be used. Peter advised that fields that have stars(*) by Dynix may not be able to be eliminated from comp. because of future considerations but may not need to be displayed on the screen. Peter also mentioned that
--Andrea Plaziak said her library still uses the apatid field for patron stats, but Bev Klyberg suggested using P/stats instead.
It was requested that when filling out ILL slips that the last name libraries are still using a glued sticker over security sticker. Please do not do that, rather use something that can easily be removed. Removable tape works good. HPE lib. said som libraries still turning ILL slips over and reusing them. This also should not be done. Another dont is not to use plastic
Discussion took place re: childrens cards and how many lib. needed parents signatures and at what age. Some libraries required a parents signature if under 18, some 12 or 13. Lincoln would like audio/video material disguised better when returned, such as a manila envelope. OLIS has said it will not supply those however. Once again it was reported that change is being sent through the courier. WNS mentioned getting $.95 in change. Please round off to the nearest dollar. Lincoln wanted feedback regarding library cards and computer use. Lin. requires a valid card, ie under $5.00 in fines as does WNS. PRO does not check card. and NPT does not require cards. Clan books should not be renewed more than once. Each library may renew more than once as long as its thier own books. Respect owning libraries rules. It is also a Clan rule that a limit of 2 Claims Return be issued per patron. A discussion took place regarding photo ID cards. Bev Klyberg said that that the last clan meeting they discussed digital cameras at each lib. then sending the copy to clan and they would mail the finished card to patron.
