The meeting at Newport Public Library was called to order at 10:10

Mary (BUR) and Barbara (CRA) accepted minutes of the May meeting.

New staff members were introduced at the meeting. They included Nicole Dufresne from Warwick Library, Renee Mitchell from Foster Library, Barbara Dunn from Scituate Library and Pam Grove came from the George Hail Library.

  • Lisa Davis announced that the October 14th reports workshop was filled, but if anyone else was interested she would form some other classes. Please contact her if you would like to take this workshop.
  • Joan Gillespie spoke on the changes made to the number days a hold remains on the holding shelve. The change from 10 to 6 days was decided at the Director's Meeting and went into effect on September 10, 2009. The reason for this change was that some libraries are only open 2-3 days a week so books were remaining on their shelves for up to a month. Some of the problems that we could see were that when using tele-circ if a patron does not get contacted a print notice would be too late. Also PAW has a BKM and only makes stops once a week so a lot of the patrons will miss their books. It was decided not to make any recommendations to change this until we saw how it worked. It will be discussed at the December meeting.
  • Also discussed was the fee increase for Out of State patrons. Currently the fee is $25.00 for 1 year. Joan stated that if a library were to close what would stop neighboring libraries from using your library. There would be no incentive for libraries to stay open. More on this would be discussed at the November Steering Committee.
  • A new state-wide procedure was discussed about how to deal with damaged items. It is in the process of being written and will be presented to Steering in November. When it is approved it will be on the message board as well as the Circulation home page.
  • Limits were discussed. For example some libraries want to limit holiday books. The numbers that were discussed were (1) (3) (5) (10). If your library does not limit this will NOT affect you. This is only for libraries that want to limit the number of items or subjects that can go out on a card.
  • Please check the Circulation Heads directory and make sure all the contact information is correct. Please e-mail Bob if any changes need to be made.
  • Please clear your hold shelf everyday. If all names do not appear, please re-run the report. Sometimes if more than one book is cancelling on a patron's card it will lock up the report.
  • ALL school cards should be updated. Make sure the card has the right address, phone number and a contact person.
  • It was reported that all PCL libraries have new phone #'s. Please update your records.
  • George from CRA wanted to thank all that participated with the Digital Bookmobile that was at CRA on Monday, September 21st. He thanked Lisa Davis from OSL, Julie Holden and Kacey Richards from PAW.
  • Please use the right 3 letter codes. Newport 3 letter code is NPT NOT NPR.
  • Please count the number of items in a KIT or Book on CD. Please match up the title. A lot of times there are mistakes being made because someone has mistakenly put a music CD in the place of the Book CD.
  • EPL will be closing for renovations. The last day they will be opened is October 3rd. Sunday hours will be at the Riverside Branch. The planned reopening date is January 19, 2010
  • PLEASE DO NOT STAPLE BAGS CLOSED, TAPE ANYTHING TO OR STAMP A BOOK THAT DOES NOT BELONG TO YOUR LIBRAY.
