Minutes - OSL Circulation Heads Meeting, May 21, 2009
The meeting at Jamestown Public Library was called to order at 9:45

Present were: Bob Oliveria (BAR), Mary Skaba (BUR), Ulla Veds (CHA), Annette Nester (COV), Barbara Angelone-Poulin, Doris Hemond (CUM), Kathy Lawrence (GLO), Nancy Sotalino (NAR), Linda Stachelhau & Pat Swansson (HAR), Madeline Leon (JOH), Mary McKay (NKI), Gina Marcone & Virginia Silvestri (NPR), Kristin Bauman (NSH), Lisa Davis (OSL), Susan Reed & Kacey Richards (PAW), Bev Klyberg (PRO), Carol McElroy (SCI), Cathy Fagan (SKK), Carla Chase (WES), John Edwards (WIL), Cindy Desrochers (WWA).

Bev (PRO) and Barbara (CRA) accepted minutes of the February meeting.

• Members from the OLIS ILL working group attended the meeting to discuss delivery issues. They said that they would be performing a survey in the future to get ideas on how to improve the delivery service. Kelley Lima (574-9308) is in charge of delivery supplies (kelleyla@olis.ri.gov). If you need bags please fill out the supply request form online and she will send them to you. If you have extra supplies please send them back to Kelley so that she can distribute them. Also ALL bins should be picked up daily if not you need to fax a copy of the form on the OLIS delivery website and they will send the driver back to pick up the bins. If the driver does not take all the bins it is considered a MISSED stop. Also Alicia Waters (574-9316) from OLIS was at the meeting. She can be reached at (Aliciaws@olis.ri.gov). She also stated that the driver should be scanning the barcodes for each bin dropped off and taken, if not please contact her.
  
• Circulation Heads directory was discussed and everyone was asked to update the list and the website would be updated. Also if you have any problems use this directory to contact the Circulation head at that library.
  
• Refund policies for Lost/Paid Books was discussed each library has different policies for refunds. Some libraries do not refund at all. The refund policies at other libraries range from 1 month to 6 months.
  
• Request to extend time items remain on hold was discussed. We would like to extend the time frame from 12 months to 18 months. This will help with items that have long waiting list (like blue ray/special editions).
  
• Also discussed was the OSL Policy for Staff Circulation Privileges. This policy is posted on the OSL message board.
  
• Claims Returned was discussed. Do NOT set another libraries book to CLAIMS RETURNED. Only the owing library can set their own book. Also there is a LIMIT of two (2) Claims Returned items per card.
  
• Use only Post its on items that do NOT belong to your library. Do NOT affix anything to books that do NOT belong to your library.
  
• Do NOT stamp date dues directly on books. You need to use either the date due slip or a post it.
