CLAN Minutes: Horizon Release 7.3.2

Minutes of the Release 7.3.2 Meeting
Held on Monday August 2, 2004 at Warwick Public Library

Two handouts were distributed. The Batch Item Deletions & Customization of Horizon options are the titles and they will be posted on the CLAN Support Page.

I. Batch Item Delete

The meeting began with a demo of the Batch Item Delete and the various ways to approach deletions. (The permissions in Security have been setup with the Cataloging logins.) Please refer to the Batch Item Deletions handout for a detail description of this.

Remember that if there is a hold or something else is attached to an item that will not delete and a message will appear.

We have included instructions how to Print a report of the deletions which must be retrieved under Cataloging in Report & Purge Discarded Items.

  1. First a Compound Search window pops up. The recommended method to search for the list of items is by date. You can also choose fields to display and sort. Though it is not possible to search by file name at this time.

  2. Be prepared that it may take a long time for a long list.

  3. The actual deletions will be removed from the Search Index after Day's End is finished or run.

II. Batch Spine Label Printing

Currently this requires a lot of configuration to work. The problem is that this can only be set individually on a pc one at a time. It brings the default spine label into a HTML file then to the PC's printer. Please contact Cindy if you are interested in setting this up. It will be necessary to arrange a visit to your library for setup.

III. Borrower Expiration by Age

There are fields to be set in the Borrower Type. An expiration date can be added and an expired box checked in the borrower's record. It could be possible for a global change to implement with a btype. Contact Cindy if interested.

IV. Borrower and Item CKO Location Stats (old RMIS ILL)

Beginning July 2004 the Interlibrary Loan statistics are available however there remains work to be done for full implemented. When WebReporter is functional we will produce a report that libraries will be able to run for themselves. At this time it is necessary to request the report from Cindy.

V. Email Notices Update

The notices for both print and email should be or can be tailored to contain the same information. If there is a problem or you would like changes please contact Cindy.
A Reminder: if you select email in the borrower's record then select a phone code with the no TeleCirc option. There still remains questions concerning email notices being sent consistently with some users. Please report any examples of problems to DP & we will continue to troubleshoot these with Dynix.

VI. Borrower Self-Registration Availability

We were able to demo this option in HIP 3.04. However it is not properly working upon further review. Peter has reported this as a problem to logexpress & is awaiting a response. Membership will need to discuss the implementation for our consortium.

VII. ADA Compliance

Though we had implemented this with HIP 3.0 it is not working with 3.04. Again it is reported as a bug with HIP3.04 & awaiting a Dynix response.

VIII. Denying In-House Holds

This will not work for a consortium. Basically it denies a borrower placing a hold if there is a copy available anywhere in the system.

IX. Other

The Question & Answer Period followed. Some of the topics covered were:

Hold Notification has been not reaching certain patrons. Namely because of the way notices are generated some patrons never receive a notification for holds. This is brought by all libraries not using Telecirc. If the borrower's location or if the pickup locations has a different notification methods they are not notified. As possible solutions there are a few choices:

  1. We already have & are continuing to request the custom programming to change the way notices are generated. We would like to produce overdue notices by the owning library & hold notices by pickup location.
  2. Another possibility is for all libraries to agree to use Telecirc for holds notification. There would be no additional cost to members. Presently there have been improvements with the latest voice quality for this software. We have had some down time though these problems were caused by a virus to the server that has been repaired.

New Features were mentioned. Some of the possible features or requests from the members are:

The ability to place a volume specific hold from the serial control module. However it would require turning on the item specific hold back on in HIP. Work will continue.

Before a Borrower is able to place a hold if there are blocks & or fines on their record a message would prevent a hold being allowed.

Request to Keep Item on the Request Pull List how it continues not to clear item from the list. We will examine.

Review all fines and the CLAN recommendation they be set to $5.00 in Circulation Parameters.

Request that the old "XNR" nonresident registration be used. Checking into creating possible alternatives.

Patron purges will be continuing. The criteria will be no activity or blocks for a three year period. If you would like a list of these purges when completed please email DP your request.

To obtain information on lost items it is still necessary to call DP. We can assist.
